How to Complete your First AutoFill
1. Populate your knowledge Base
- There are two parts to the knowledge base:
- The Document library - this is where information about your organisation will be kept, think annual reports sustainability reports, and certifications
- The Answer library - this is where previously completed examples are stored so that the AI can match your tone and style
- To upload documents to the knowledge base:
- Click on the correct library
- Click the "Upload Document" or "Add Answers" button in the top right
- In the document library you will then be prompted to select whether the document is public or private - this does not change the fact that your document is treated with the utmost security - where the difference is whether the document can be access in the public domain or not.
- Choose the file you wish to upload
- Click Next, and name the file
- In the document library you can also set an expiry date when the file will no longer be current and will no longer be considered by the AI.
- Click "submit"
Note: All documents will take a few minutes to "parse" and this is indicated by a small circle, and message and message at the top of the table. When this message no longer appears this document is processed and can be use to answer a form
2. Upload your Form
- Navigate to the Autofill section in the left-hand menu
- In the top right hand corner click "Autofill New Form"
- In the pop up you can either drag and drop the form you wish to be filled from your documents or, by clicking on the window, select the document
- Once selected you can rename the form, and provide a completion date for the project
- Clicking continue will provide you with 3 further steps where you can:
1. Specify which parts of the knowledge base you would like the AI to consider. By default this is all of them
2. Provide specific instructions to the AI as to what is expected in relation to teh form being completed. We recommend you provide greater context for the project as whole, what is the AI's task? How should the answer the questions? What is the goal of answering these questions?
3. Add context documents. This is particularly useful for larger projects such as RFPs or RFIs were specifics of how to answer the question are contained within a multi-page document. - Click "Extract Questions + Generate Answers" to begin the AI process!
- Note: it is possible to skip the steps of setting up the AI agent by clicking either "Skip step" next to each option or "Autofill with default setting" in teh bottom left-hand corner of the module but providing setting and instructions will yeild the best results.
